Privacy Policy

This page describes what Apex Local Systems ("we," "us," "our") collects through this website and our services, and how it's used. It's written to be genuinely thorough rather than to obscure anything — but it still isn't a substitute for legal advice. If you have specific compliance obligations (GDPR, CCPA, or otherwise), have this reviewed by a lawyer before relying on it.

1. Who we are

Apex Local Systems is a solo-operator service that runs AI visibility audits, content fix sprints, and monthly monitoring for local service businesses (tutoring, dental, legal, and similar categories). This policy covers apexlocalsystems.com and the internal tool we use to manage leads, audits, and client work.

2. Scope of this policy

This policy applies to anyone who visits this website, submits the audit request form, emails us, or engages us for a paid service. It does not apply to third-party sites we may link to, or to the AI platforms (Claude, Gemini, ChatGPT, Google AI Overviews, and similar) whose behavior we audit — those are governed by their own operators' privacy policies, not ours.

3. Information we collect

We collect information in three ways:

a) What you submit directly. When you use the audit request form, we collect:

  • Business name
  • Email address
  • Website (optional)
  • Location (optional)
  • Anything you write in the "what are you hoping to fix" field (optional)

If you email us directly instead of using the form, we collect whatever you include in that email and any attachments, the same as any other email correspondence. If you become a client, we additionally collect whatever business details are needed to run an audit: services offered, target audience, known competitors, and similar operational information you choose to share.

b) What's collected automatically. We use Plausible for aggregate website analytics — see Section 7 for exactly what that does and doesn't involve.

c) What we generate about you. As part of delivering an audit, we generate records tied to your business: visibility scores, prompt test results, competitor comparisons, and recommendations. These are derived from public AI-tool responses to test prompts, not from anything private about you.

4. How we use it

We use the information you submit to:

  • Prepare and deliver the AI visibility audit or service you requested
  • Reply to your inquiry and follow up about the services described on this site
  • Keep an internal record of prospective and current clients
  • Generate reports, recommendations, and monitoring updates for active client engagements
  • Improve how we run audits and communicate results, based on aggregate patterns across engagements

We do not sell your information, and we do not use it to train any third-party AI model. We do not share it with third parties except the service providers described in Section 6, and only as needed to run the business.

5. Legal basis for processing (for visitors in the EU/UK)

If GDPR applies to you, our legal basis for processing depends on the context:

  • Consent — when you voluntarily submit the audit request form or email us.
  • Contract — when processing is necessary to deliver a service you've engaged us for.
  • Legitimate interest — for basic aggregate analytics and for responding to inquiries, weighed against your right to privacy.

6. Where it's stored, and who else sees it

Submissions are stored in our internal operations tool, backed by Supabase (a database and backend infrastructure provider). Access to that tool is restricted to authorized operators and requires logging in — it is not publicly accessible.

The service providers who may process your information on our behalf include:

  • Supabase — database, authentication, and file storage.
  • Plausible — website analytics (no personal data or cookies involved; see Section 7).
  • An email delivery provider(such as Resend, SendGrid, Postmark, or a standard SMTP service) — used only to send outreach and correspondence you'd reasonably expect, never to a purchased or scraped list.

Each of these providers processes data under their own security and privacy commitments. We choose providers that meet reasonable industry security standards, and we don't hand your information to anyone beyond what's listed here without telling you.

7. Cookies and analytics

This site uses Plausible, a privacy-focused analytics tool, to see aggregate traffic like page views and referrers. Plausible:

  • Does not use cookies or any local storage/device identifiers
  • Does not collect or store personal data or IP addresses
  • Does not track you across other websites
  • Reports only anonymized, aggregate numbers — we never see anything tied to you individually

Because no cookies are set, there is nothing here requiring a cookie-consent banner under current guidance for tools of this kind. If we ever add a tool that does use cookies or tracking identifiers, we'll update this section and add appropriate consent controls before doing so.

8. Data retention

We keep lead and client records for as long as we have an active or reasonably recent relationship with you, and for a limited period afterward to comply with basic accounting and legal obligations. If you ask us to delete your information (Section 10) and you're not a current client with an active engagement, we'll delete it rather than retain it indefinitely.

9. Security

We restrict access to stored information to authorized operators, require authentication to reach our internal tool, and rely on our infrastructure providers' security practices (encryption in transit and at rest, access controls) for the systems that host your data. No method of storage or transmission is perfectly secure, but we don't treat that as an excuse to be careless — access is gated, not open by default.

10. Your rights

Regardless of where you're located, you can ask us at any time to:

  • See what information we have about you
  • Correct inaccurate information
  • Delete your information
  • Stop receiving outreach or marketing communications from us

If GDPR applies to you, you additionally have the right to restrict processing, receive your data in a portable format, object to processing based on legitimate interest, and lodge a complaint with your local data protection supervisory authority if you believe we've mishandled your information.

If you're a California resident, CCPA gives you the right to know what personal information we've collected, request deletion, and opt out of the "sale" or "sharing" of personal information — we don't sell or share personal information with third parties for their own marketing purposes, so there's nothing to opt out of on that front, but you can still request the other rights above.

To exercise any of these rights, email hello@apexlocalsystems.comand we'll act on it promptly, typically within 30 days.

11. Marketing communications

If you become a lead or client, we may follow up by email about your audit, results, or related services. Every outreach email includes a clear way to opt out, and we honor opt-out requests immediately and permanently for that address — you will not receive further outreach after asking to stop, and we maintain a suppression list specifically to enforce this.

12. Do Not Track

Because this site doesn't use tracking cookies or cross-site identifiers in the first place, we don't respond differently to browser "Do Not Track" signals — there isn't cross-site tracking here to disable.

13. Children's privacy

This site and our services are intended for business owners and operators, not children. We don't knowingly collect information from anyone under 18. If we learn that we've collected information from a minor, we'll delete it.

14. International visitors

Our infrastructure providers may process and store data in regions outside your own country. We rely on those providers' standard safeguards for cross-border data transfer where applicable, and we don't transfer your information anywhere beyond what's needed to operate the service.

15. Changes to this policy

If this policy changes in a meaningful way, we'll update the date at the top of this page. For significant changes affecting how we handle existing data, we'll make reasonable efforts to notify current clients directly.
